Exporting meeting transcripts and meeting minutes: Word, PDF, Google Docs, Notion and API

Sometimes you need to retrieve all your meetings at once: to archive them, meet a legal obligation, prepare a cancellation, send them to another AI or simply avoid losing old recordings.

The problem: from the tool, exports are done one meeting at a time.

This is in fact the main export-related topic raised with Leexi support: 12 requests out of 43 between January and June 2026 concerned retrieving the entire history.

And in some cases, you should not wait. Once deleted, audio and video files cannot be recovered. One company found this out in January 2026 when it asked for videos from February 2025 that had already been erased.

Depending on your need, the solution is therefore not the same: Word or PDF for one meeting, a full export or the API for the entire history, Google Docs, Notion or SharePoint to send your next meeting minutes automatically.

Exporting a meeting

From a meeting's page, you can download the transcript, the meeting minutes or the recording.

Exports are done one meeting at a time.

Exporting to Word or PDF

Both formats are available.

If you only need to retrieve meeting minutes to send them, archive them or rework them, this is the simplest solution.

A few limits have nevertheless been reported to support.

An empty PDF for a long meeting

One user got a PDF with no content for some long meetings, while the Word export worked correctly.

If this happens to you, use Word.

No page numbering in the PDF

Automatic page numbering is not available at the moment.

Formatting differences in Word

Some users have also noticed problems after opening the file:

  • text that no longer justifies correctly;
  • tables that become distorted.

The content is exported, but the layout may need a few adjustments.

Sharing only an excerpt of a meeting

You do not have to share the full call.

If you only want to send one passage, for example between the 20th minute and the first hour, select that part in the recording to create an excerpt.

Sharing then generates a link to download the excerpt as an MP3.

The download does not work

Two cases were reported to support between January and June 2026.

The first involved a late payment. Downloading Word transcripts and recordings had been temporarily restricted.

In another case, the feedback button was simply hiding the download button on screen.

If you can no longer export a meeting, first check the account status and the interface before looking for a more complex problem.

Exporting your entire history at once

This is where exporting one meeting at a time quickly shows its limits.

Leexi does not offer a button that lets users download their entire history in one go.

To retrieve several hundred or several thousand meetings, you have two options:

  1. ask the Leexi team for an export;
  2. use the public API.

Asking Leexi for a full export

Contact support and specify the period you want to retrieve.

For example:

  • all conversations since the beginning;
  • only the current year;
  • a specific period.

The team can then provide:

  • transcripts and summaries as .txt files, grouped in a .zip folder;
  • videos as download links, with one link per video.

Be careful with these links: their validity period is limited.

In the cases handled by support, it was 12 hours for one customer and one week for another.

If you receive a video export, it is therefore best to download it quickly.

For a very large history, use the API

Beyond a certain volume, requesting a full export becomes impractical.

For an account of about 24,000 calls, support recommended the public API rather than a global export, which would be too heavy to generate and to use.

Why companies export their entire history

Requests sent to support point to four main reasons.

Keeping data for legal reasons

One company, for example, worded its request as follows:

"We need for legal reasons to download and store all videos, transcription".

It needed to keep a copy of the videos and transcripts outside Leexi.

Saving recordings before they are deleted

If your old audio or video files are reaching the end of their retention period, you can export them to keep them elsewhere.

Retrieving your data before cancelling

Some companies request a full export before closing their account, then the deletion of the data after the export.

Feeding an AI or a knowledge base

One user wanted to retrieve about 200 transcripts as .txt to train a model.

Another used their meetings to feed a Notion database serving as a RAG.

In this type of case, the API often becomes more practical than a manual export.

How long are meetings kept?

The duration depends on the plan and the type of data.

On AI-Meeting and Business, the 2-year limit therefore only applies to audio and video.

Transcripts and meeting minutes are kept with no limit by default.

A deleted video cannot be recovered

This is the point to watch if you need to keep your recordings over the long term.

In January 2026, a company asked to retrieve videos from February 2025.

Its workspace had been configured with a six-month retention period.

Support replied:

"The videos as well as the audio have been permanently deleted."

Once deleted, these files can therefore no longer be restored.

If you need to keep them, export them before the end of the planned period.

Automatically sending meeting minutes to Google Docs

If your main need is to stop downloading your next meetings manually, you can connect Google Docs.

The integration automatically creates a document for each new meeting concerned.

Choosing which meeting minutes to send

The setting is made in each meeting minutes template.

In the notification section, you choose whether this template should be added to the Google document.

You can therefore send the main meeting minutes while leaving out certain secondary summaries.

The full transcript is not sent

The Google Docs integration sends the meeting minutes, not the full transcript.

If you want to retrieve everything that was said during the meeting, you need to use the transcript export or the API.

Documents are created in the personal Drive

Each document is created in the user's personal Drive.

A Google Workspace administrator wanted to centralise meeting minutes automatically in a shared Drive.

This is not possible today.

Past meetings are not retrieved

The integration works for meetings held after it was connected.

It does not automatically retrieve the history.

For past meetings, you need to use the API or request an export.

Meeting minutes no longer arrive in Google Docs

Four users reported this problem between January and June 2026.

If documents were being created correctly before and then stopped arriving, support asks in particular for the date of the last meeting received correctly to start the diagnosis.

Sending meetings to Notion

With the Notion integration, new meetings can flow directly into your database.

Here again, the integration does not automatically retrieve past meetings.

To import the history, you need to use:

  • the API;
  • or an export carried out by the Leexi team.

In one case, support offered to export about 6,500 meetings into a customer's Notion database.

Some Notion properties stay empty

One customer saw in particular their « entreprise » and « utilisateur » properties stay empty even though their users were linked.

If the meeting does arrive in Notion but some columns are not filled in, check the property configuration.

The company blocks the integration

If you see the message:

« Votre entreprise n'autorise pas l'intégration de nouvelles intégrations »

the integration is blocked at organisation level.

An administrator must authorise it before you can connect it.

Sending meeting minutes to SharePoint

Meeting minutes can also be sent to SharePoint.

This setting is also made in the notification section of the template.

You can thus choose which types of meeting minutes should be sent to SharePoint.

Automatically retrieving transcripts with the API

To use meetings in your own system, the Leexi public API is the intended solution.

The transcript is available as text in the object corresponding to each call.

This is particularly useful if you want to:

  • automatically retrieve each new transcript;
  • feed your own database;
  • send meetings to an AI;
  • build a knowledge base;
  • process several thousand meetings.

One user was already running their own agents on transcripts from another tool and had made their switch to Leexi conditional on this capability: retrieving each transcript as JSON.

Large videos can cause problems

One customer was using the API with an N8N automation.

The largest videos could not be downloaded correctly because of a lack of available memory in their automation.

Support then offered them a file containing one download link per video.

The primary need is therefore indeed to retrieve an entire history rather than download meetings one by one.

Google Docs and Notion address a different problem: avoiding having to redo these exports manually for future meetings.

Frequently asked questions

Can you export all your meetings at once from Leexi?

Not directly from the interface.

The download available to users is done one meeting at a time.

To retrieve everything, contact support and specify the period you want.

Transcripts and summaries can be provided as .txt in a .zip, while videos are sent as download links.

For a very large history, the public API is better suited.

How long are recordings kept?

On Starter, audio, video, transcripts and meeting minutes are kept for 6 months.

On AI-Meeting and Business, audio and video are kept for 2 years, while transcripts and meeting minutes are kept with no limit by default.

Once audio or video has been deleted, it cannot be recovered.

Why is the PDF of a long meeting empty?

This problem has already been reported to support for some long meetings.

In the reported case, the Word export still worked.

If your PDF comes out empty, use Word to retrieve the content.

Does Google Docs retrieve the whole transcript?

No.

The Google Docs integration sends the meeting minutes selected in the templates, not the full transcript.

It does not retrieve past meetings either, and it does not currently allow documents to be created directly in a shared Drive.

How do I retrieve my old history in Notion?

The Notion integration retrieves new meetings, not automatically the ones already recorded.

For the history, use the public API or ask the Leexi team for an export.

Can you share only a few minutes of a meeting?

Yes.

Select the passage you want in the recording to create an excerpt.

The generated link then lets you download this passage as an MP3.
